Productivity: 3 Secrets to Accomplishing More with Less + a Free Tool

Every business professional has probably wondered at some point how to achieve more with less–more results, more return on investment, more reach, more scalability, more promotions, more clients, and more success. We all have 24 hours in a day, but some people achieve what seems impossible in a shorter amount of time than most.

Have you ever wondered how some people can juggle a never-ending list of tasks while others constantly struggle with their time? We have been on this quest for years. As a marketing team, we are used to managing a complex list of items that must work and integrate flawlessly to make big campaigns happen. We are used to a fast-paced environment of small achievements that lead us to create significant results for our clients.

This is what we have discovered so far on our journey to becoming more efficient and effective.

1. Become a Lifelong Learner

The first thing we did in our quest to become more efficient with our limited time was to seek more answers. How do others do it? How do others achieve more? Who are excellent examples of high achievers? What are the best courses out there for productivity? What are the best tools to help us achieve more in a short amount of time?

Courses, books, resources, and podcast episodes–we absorbed it all. As our client base grew, so did our responsibilities and tasks. Every new piece of information helped, but we needed to make it a part of our daily routine for it to make a difference. We started adapting more content into the context of our daily tasks. Once we did this, the new tools wrapped around commitment began to work for us. We learned that a single solution wasn’t for us, but a mix of tools was, and they helped us achieve our goals faster.

2. Plan Like you Mean It

Brian Tracy once said, “You save 10 minutes for every one minute you plan.” This resonated with us. This was one of the most significant ways to accelerate the completion of our tasks–through planning! We became planners, carving time out every week on Sunday to visualize the achievements of the week ahead–every touchpoint, meeting, and interaction we would have that week.

What would we need to make sure that every single one counted? How could we advance the agenda with every interaction that week? How could we avoid unnecessary back and forth with clients? How should we prepare for important meetings to get the answers, feedback, and approval we need? The answer: planning! Brian Tracy was right; we have saved thousands of minutes, hours, and days through diligent planning!

3. Zoom In and Zoom Out

Life is filled with dualities. Our CEO is an airplane pilot, and she always talks about “zooming in, zooming out.” She does that every time she flies an airplane. As she prepares the aircraft, she is zooming in, doing the required pre-flight checks and planning, and as she soars the skies, she is zooming out to see the beauty beneath her.

How can you apply that to your professional life? How can you zoom in to do the work with focus and diligence and then zoom out to see the progress of your commitment? Weekly planning, visualizing, strategizing, working on the details, keeping overall objectives in mind, and never losing track of the mission is the way to do it.

As our commitment to our clients continues, so does our quest to share the tools that help us achieve success. We created a tool called the “Make It Happen” Journal. Within it, you will find a combination of all the tools, resources, and knowledge we have applied to our agency. The journal will help you get more time out of your day, from planning your week to allowing creative space and assigning tasks.
